Privacy and your deeds

TractEdge uses the documents you provide to draft tract geometry. This policy explains what we collect, which services receive it, how long we keep it, and how to request deletion.

What we collect

Documents and project details. We collect the legal descriptions, deed text, CSV batches, survey references, and notes you submit. TractEdge needs this information to create your draft.

Contact details. We require an email address before running a free draft. We also collect your name and email address when you contact us, purchase a tract, or start a subscription. We use this information to manage the trial limit, connect a later subscription to your draft, provide the service, and send follow-up messages about TractEdge.

Server logs. Our servers record request paths, timestamps, IP addresses, and error traces. We use these logs to operate and debug the service.

Advertising measurement. We use the Meta Pixel on our website to measure visits, draft starts and completions, checkout starts, and purchases from Meta ads. For checkout and purchase events, Meta also receives the product category, currency, and purchase value. Meta receives information such as the page URL, referring page, IP address, browser details, and Meta click identifier, and may set or read cookies. We do not send your deed text, project contents, email address, or project identifier to Meta. Meta processes this information under its own privacy policy and account controls.

Where your description goes

TractEdge uses these services to create and store your draft:

• Anthropic’s API receives the description and converts it into structured survey calls. Anthropic does not use our API inputs or outputs to train its models.
• The Texas Railroad Commission’s public GIS service receives a survey reference or bounding box when we look up the survey abstract and nearby wells. It never receives your deed text.
• The BLM CadNSDI PLSS service receives the details needed to look up New Mexico section and aliquot descriptions. It never receives your deed text.
• Our application infrastructure hosts TractEdge and stores your drafts in its database.
• Resend stores contact email addresses and sends service and marketing messages. We identify contacts as trial users or purchasers so the messages match their relationship with TractEdge. Every marketing message includes an unsubscribe link.

We do not send your descriptions to any other service. We never sell or publish them. We do not share them with data brokers, list vendors, or mineral buyers. Internal access is described below.

Training

TractEdge does not use your documents to train machine-learning models. Anthropic does not use them to train its models through our API account. We may review submitted descriptions to learn which document formats the software needs to handle. We may also use anonymized patterns to improve the software. For example, we may record that deeds from a particular county tend to split a closing call in two. If you do not want us to review your document, tell us when you submit it. We will only process it to produce your draft.

How long we keep it

• Descriptions sent by email: We keep them while we work on them and for up to 12 months afterward. This lets us resume the conversation if you return. You can ask us to delete them sooner.
• Free-trial projects: We keep them under the private, anonymous browser session that created them. If you start a subscription from that session, the projects become part of your account. Without a subscription, the projects remain tied to that browser session and cannot be opened through a reusable login.
• Projects in an account: We keep them while your customer login remains available. Drafting and export access end with the paid term. We do not set an automatic deletion date for account projects. You can request deletion at any time.
• Server logs: We keep them for 30 days.

Deletion and its limits.Email us to request deletion. We remove the document, draft, exported geometry, and related database rows from every system we control. We confirm when the work is complete. Backup copies expire within 30 days. We cannot delete an individual request from Anthropic’s systems. Text already sent through its API expires under the retention terms for our API account.

Who can see it

Only the person who builds and operates TractEdge has internal database access. There is no support team, offshore contractor, or sales operation with a login.

Each project is tied to the private identity that created it. A free draft belongs to an anonymous browser identity. Starting a subscription adds a sign-in to that same identity, so the draft moves into your customer account. TractEdge checks project ownership before returning any data. Another customer cannot list, open, or export your projects. Automated tests check this protection for every project action. Each account currently supports one login. TractEdge does not yet offer organization accounts or team workspaces.

If operator access is a concern, contact us before sending the document. We can arrange to handle it outside the application.

Security

TractEdge encrypts traffic in transit and checks that each project request comes from its owner. We do not currently have a SOC 2 report or a completed penetration test. We also cannot complete a security questionnaire that requires those controls. Firms with those requirements may not be able to approve TractEdge yet.

Your choices

• Ask for a copy of everything we hold about you.
• Ask us to correct it.
• Ask us to delete it, including documents you sent us.
• Ask us not to read a submitted document beyond drafting it.
• Review or disconnect activity shared by businesses in Meta’s activity off Meta technologies controls. You can also use the Digital Advertising Alliance opt-out for participating companies.
• Unsubscribe from marketing email using the link in any message. Transactional messages needed to provide a purchase or account may still be sent.

Changes

We will email you if a change to this policy affects documents you have already submitted. Minor updates will appear in the date at the top of this page.
